This Privacy Policy explains what information TrustedByAI ("we", "us", "our") collects when you use our AI visibility audit, how we use it, who we share it with, and the choices you have. We aim to collect only what we need to run your audit and deliver your report.

01Information we collect

We collect the information you provide and a small amount of technical data needed to run the service:

  • Business details you enter to run an audit: business name, website URL, city and state, and business type or category. This is the information used to build the queries we send to AI assistants.
  • Contact details: your name and email address, which you provide when you unlock the full report. We use these to deliver your report and to follow up with you.
  • Audit results we generate: your visibility score, findings, competitor leaderboard, and the verbatim answers we capture from AI assistants about your business.
  • Limited technical data: your IP address is used transiently to enforce per-network rate limits and to protect the service from abuse.

We do not intentionally collect sensitive personal information, and you should not submit any through the audit form.

02How we use your information

  • To generate your audit: we use your business and location details to run real queries against AI assistants and to analyze your online presence.
  • To deliver your report: we use your email address to send your results and a link to your full report.
  • To follow up: we may contact you about your audit results, related services, and product updates. You can opt out of non-essential messages at any time.
  • To operate and improve the service: we use aggregate, de-identified usage information to monitor performance, fix issues, and improve our audits.

We do not sell your personal information.

03Third-party services we use

Running an audit necessarily involves sending some of your information to third-party providers. These include:

  • AI assistants: to measure your visibility, we send queries that include your business name, category, and location to third-party AI services, which today include OpenAI (ChatGPT), Google (Gemini), Perplexity, and Anthropic (Claude). Their handling of that data is governed by their own privacy policies.
  • Google data: we look up your business profile and reputation information through Google services (such as Google Places and Google Business Profile data) to assess your entity and review presence.
  • Email delivery: we use a third-party email provider (Resend) to send your report and related messages.
  • Optional CRM forwarding: if a business has configured a CRM or automation webhook, lead details captured at the unlock step (such as your name, email, and the recommended plan) may be forwarded to that endpoint.

We share information with these providers only as needed to deliver the service. We do not control, and are not responsible for, the independent privacy practices of these third parties.

04Cookies and analytics

We keep tracking to a minimum. The audit experience relies on standard, functional storage in your browser (for example, remembering the state of your report view) rather than advertising cookies, and we do not use third-party advertising trackers.

If we introduce privacy-respecting analytics to understand how the site is used, we will use it only to measure aggregate traffic and performance, and we will update this policy to describe it.

05Data retention

  • Completed audits may be cached for up to 30 days so that repeat requests for the same business return results quickly without re-running the analysis.
  • Audit records and the results we generate are stored so that you can return to your report. Your contact details are retained while they remain useful for the purposes described above.
  • We retain information for as long as needed to provide the service and to meet legal, accounting, or reporting requirements, after which we delete or de-identify it.

06How to access or delete your data

You can request access to, correction of, or deletion of the personal information we hold about you. Email us at privacy@trustedbyai.ai and we will respond within a reasonable timeframe. We may need to verify your identity before acting on a request, and some information may be retained where we are legally required or permitted to keep it.

07Data security

We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, however, so we cannot guarantee absolute security.

08Children's privacy

The service is intended for business owners and is not directed to children under 13. We do not knowingly collect personal information from children.

09Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the service or by email where appropriate.
